Information we collect
- Information you give us: name, business name, email, phone number, business details and anything you write in our forms.
- SMS consent records: when you opt in to texts we store your mobile number, the date and time, the page and the exact consent wording you agreed to, your IP address and browser type, so we can prove your consent.
- Usage data: pages visited, device and browser type, collected with cookies and analytics tools such as Google Analytics if you accept them.
- Payment and POS data: when we install or support your POS, we may access data in your POS or Square account only as needed to provide the service. Card payments are processed by Square; we never see or store full card numbers.
How we use it
- To answer requests, prepare quotes, schedule appointments and provide installation and support.
- To send service messages about your quotes, appointments and orders.
- To send marketing by email or text message, only when you have agreed to it.
- To keep the website secure, prevent spam and fraud, and improve our services.
- To comply with the law.
We do not sell your personal information.
Text messaging (SMS)
If you join our SMS program we send recurring automated text messages to the mobile number you provide: promotions and new hardware offers, appointment and demo reminders, quote and order updates, and customer service messages. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service and our SMS provider, is permitted. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Who we share information with
We share information only with service providers that help us run the business, under confidentiality obligations: our hosting provider, email provider, SMS provider (Telnyx), payment and POS platform (Square), and analytics providers. We may also disclose information when the law requires it or to protect our rights and safety. Mobile numbers and SMS consent data are never shared for third-party marketing.
Cookies and analytics
We use essential cookies to make the site work (for example, to keep forms secure). With your permission we also use analytics cookies to understand how the site is used. You can decline them in the cookie notice or block cookies in your browser.
How long we keep it
We keep lead and customer information while we have a business relationship and as long as needed for legal, tax and accounting reasons. SMS consent and opt-out records are kept for at least four years after your last interaction so we can show compliance.
Your choices and rights

- Stop text messages by replying STOP to any message.
- Ask us to access, correct or delete your information by writing to info@whitestonepos.com. We may keep records we are legally required to keep, including proof of an SMS opt-out.
Security
We use encryption in transit (HTTPS), access controls and encrypted storage for sensitive credentials. No system is perfectly secure, so please contact us if you believe your information has been compromised.
Children
Our services are for businesses and are not directed to children under 13. We do not knowingly collect their information.
